At a glance
Replaced a $1,500/month CRM and job management platform plus a separate $600/month inventory system with one custom-built ERP — designed, built, and deployed in two weeks. The client eliminated $2,100/month in combined software fees, saved 13 man-hours a week previously spent hunting for data across systems, and now runs their entire business — social media performance, finances, job costing, inventory, and team hours — from one system they own outright. And because it's fully theirs, this is just the starting point — the system grows with the business instead of forcing another platform switch down the road.
The problem
Like a lot of growing businesses, our client had outgrown their CRM and job management platform before they'd even finished paying for it — $1,500/month for a system built for large companies, priced and restricted like one: expensive per-seat licensing and user limits that made it costly to add a new team member.
It also had no real inventory management built in, so they were paying for a separate inventory management system (IMS) on top of it — another $600/month for a tool that still didn't talk to the CRM. And neither system had any direct integration with their social media accounts, so marketing performance lived in one place, inventory in another, and operations in a third — never talking to each other, never telling one full story.
They weren't just overpaying. They were paying for multiple disconnected systems, and their team was the integration layer holding it all together by hand.
The build
Instead of layering on another subscription or trying to duct-tape integrations onto a system that wasn't built for them, we scoped and built a custom ERP from the ground up — sized to how their business actually runs, not how a large enterprise runs.
The system consolidates what used to live in four or five disconnected places into one:
- Social media integration. Performance data pulled in directly, not tracked separately.
- Financial tracking. Real numbers, not reconciled after the fact.
- Job costing. Tied directly to real jobs, not estimated after the work is done.
- Inventory management (IMS). Built directly into the system, replacing the separate $600/month tool they were running alongside their $1,500/month CRM.
- Team hours. Tracked in the same system driving everything else.
We designed, built, and delivered the working system in two weeks — a working prototype validated the approach early, so there was no months-long build cycle and no scope creep.
The impact
- $2,100/month in software costs eliminated. $1,500 for the CRM and job management platform, plus $600 for the separate inventory system it never talked to — replaced by one system that costs them nothing extra to run.
- 13 man-hours a week saved. That's how long the office staff used to spend digging for data across multiple systems just to answer basic questions. Now it's just there — always up to date — the moment they need it.
- Office staff back on sales and clients, not spreadsheets. With the data no longer scattered, the team's time went from reconciling numbers to actually working with customers.
- One system, full visibility. Social media, finances, job costing, inventory, and team hours all live in the same place — for the first time, one true picture of the business instead of five partial ones.
- They own it outright — and it grows with them. No vendor lock-in, no per-user fees, no features held behind a paywall. This go-live version is the starting point: as the business changes, the system gets upgraded, not replaced.
- Two weeks, start to finish. No months-long engagement, no retainer — a working system they could start running their business on almost immediately.
The bigger picture
This is the pattern we see across a lot of small and mid-sized businesses: paying enterprise software prices for tools that were never built with them in mind, and never getting to own what they're paying for month after month. A right-sized system — built around how the business actually operates — often costs less than a year of subscription fees, and it's theirs for good.
